1. Controller
RAGCNotaar, based in the Netherlands (jurisdiction no. NL5477182EN), is the controller for the personal data described here. Contact: info@ragcnotaar.com.
2. What we collect
Identity data (name, date of birth, identity document details and photo), contact data (email, phone), the documents you submit, video and audio recordings of the notarial session, technical data (IP address, browser, timestamps) and payment data.
3. Why we use it and on what basis
To perform our contract with you (article 6(1)(b) GDPR); to comply with legal duties such as notarial record-keeping and anti-money-laundering checks under the Wwft (article 6(1)(c)); and, for optional analytics, on the basis of your consent (article 6(1)(a)). Identity documents are processed only where a legal obligation permits it.
4. Sharing
We share data only with processors that support our service (secure hosting, identity verification, payment processing) under data processing agreements, and with authorities where the law requires. We do not sell personal data. Where data is transferred outside the EEA, we rely on EU Standard Contractual Clauses.
5. Retention
Notarial deeds, session recordings and identity records are retained for the periods prescribed by Dutch notarial and Wwft legislation. Other data is deleted when no longer needed, typically within 24 months.
6. Security
Data is encrypted in transit and at rest with 256-bit encryption, access is restricted on a need-to-know basis, and every notarisation produces a tamper-evident audit log.
7. Your rights
You may request access, rectification, erasure, restriction, data portability, and object to processing based on legitimate interests. You can withdraw consent at any time. Statutory retention obligations may limit erasure of notarial records.
